How fee tracking & WhatsApp reminders work

This is exactly how a coaching institute tracks every student’s fees and sends a WhatsApp reminder to a parent in Vantor — recording a payment, generating a numbered receipt, and seeing at a glance who still owes.

  1. 1

    Spot who hasn’t paid

Every student’s fee status is one glance: Paid, Partial or Unpaid — with the exact pending amount.

  2. 2

    Record a payment

Tap Record on the student’s row to log what they paid — cash, UPI or bank transfer.

  3. 3

    A numbered receipt is created

Every payment gets a unique receipt (SD-YYYYMMDD-NNNN) you can download as a PDF.

  4. 4

    Remind a parent on WhatsApp

For anyone still pending, Vantor writes the reminder for you — you just send it.

How it works

  1. 1

Every student’s fee status is always current

Vantor compares what each student is expected to pay against what’s been recorded, and marks the row Paid, Partial or Unpaid automatically — for the month you’re viewing.

  2. 2

    Record a payment in seconds

Tap Record on a student’s row, enter the amount and how they paid (cash, UPI or bank transfer). Vantor logs it and creates a numbered receipt (SD-YYYYMMDD-NNNN) you can download as a PDF.

  3. 3

The summary updates as you go

Expected, Collected and Pending totals recompute from your records, so you always know how much is still outstanding and how many students are pending.

  4. 4

    Remind a parent on WhatsApp

For anyone still pending, Vantor writes the reminder message for you — naming the student, month and outstanding amount — and you send it through your own WhatsApp. Reminders go only to parents who have opted in.

Do this in your own account

Logged in? Follow these exact steps — the controls below are the real ones in Vantor.

  1. FeesOpen Fees from the left menu and pick the month you want to check.
  2. Find a student who hasn’t paid — their row shows the Unpaid badge and the pending amount.
  3. Tap Record on that row, enter the amount and payment mode, and save. A numbered receipt is created.
  4. Expand the row and tap WhatsApp to message that student’s parent (they must have opted in).

Common questions

How do I send fee reminders to parents on WhatsApp?

Open Fees, find a student who is pending, expand their row and tap WhatsApp. Vantor pre-writes the reminder — the student’s name, the month, and the outstanding amount — and you send it from your own WhatsApp. Reminders are sent only to parents who have opted in.

How does Vantor track who has paid and who hasn’t?

For the month you’re viewing, Vantor compares each student’s expected fee against the payments you’ve recorded and labels the row Paid, Partial or Unpaid. The Expected, Collected and Pending totals at the top recompute from the same records.

Do parents need an app to get reminders?

No. Reminders arrive as normal WhatsApp messages on the parent’s phone. Parents never need to install anything or create a login.

Is there a receipt for each payment?

Yes. Every recorded payment gets a unique receipt number in the format SD-YYYYMMDD-NNNN, which you can download as a PDF for the parent or your own records.
